Overseas Business Trips: What You Need to Prove for Tax Deduction

Not every business trip is automatically deductible for tax purposes. A local trip to visit an existing customer or attend an exhibition may qualify as a normal business expense, provided it is incurred in the production of income and properly supported.

The same basic test applies to overseas travel. A flight, hotel and daily allowance for a trip abroad can be deductible if the expense was incurred in the production of income. However, because overseas trips can involve larger amounts and may be less frequent, it is particularly important to keep sufficient evidence to demonstrate the business purpose of the trip.

For example, an overseas trip involving sales staff may be a genuine business expense where the purpose is to secure sales, build customer relationships, provide technical support or increase sales. What matters is whether the trip has a genuine connection with the company's income-producing activities, rather than simply being labelled as a business trip.

For your local trips, keeping a record of who you met and why is a good practice. For an overseas trip, you should also be prepared to justify the trip in commercial terms and keep proper documentation, such as the itinerary, tickets, meeting notes and details of the business activities carried out.

This does not mean overseas travel is harder to claim. If your trip is genuinely for business, whether to meet a supplier, inspect machinery, or attend an exhibition tied to your industry, it may qualify for a tax deduction, subject to the applicable tax rules. The key is being able to demonstrate the business purpose if LHDN asks.

A practical habit worth building into your travel process is to keep overseas trip documents together from the start. Brief whoever is travelling to keep their tickets, itinerary and meeting notes together, rather than trying to reconstruct the trip's purpose months later during an audit.
